privacy policy

Last updated: 6 November 2026

Your privacy matters to me. This policy explains what personal data I collect when you visit vilmausaite.com, use my free AI career coach Aurora, book a call, buy a course or coaching package, or join my email list. It also explains why I collect it, how I look after it, and the choices and rights you have.

In short: I only collect what I genuinely need, I keep it safe, and I never sell it.

I am based in Lithuania, in the European Union, so this policy is written in line with the EU General Data Protection Regulation (GDPR) and Lithuanian data protection law.

1. Who I am

This website is run by Vilma Usaite, trading as Vilma Usaite Coaching · Holistic Career Change™. In this policy, "I", "me" and "my" refer to me, and "you" refers to you as a visitor, subscriber or client.

I am the data controller for your personal data. This means I decide how and why it is used, and I am responsible for looking after it.

2. What this policy covers

This policy applies to vilmausaite.com, to Aurora, and to the coaching, courses, consultations and free resources I offer. My work may draw on astrology, Human Design and the Enneagram as tools for reflection. Using these tools does not mean I collect sensitive information about your health or beliefs. I only hold that kind of information if you choose to share it with me yourself.

3. The information I collect

The information I hold depends on how you connect with me.

When you join my email list or download a free resource
• Your name and email address, collected through forms on this website and stored in MailerLite.

When you book a consultation
• Your name, email address and the booking details you give me, collected through Calendly.

When you buy a course, session or coaching package
• Your name, email address and the billing details needed to complete your purchase. Payments are handled securely by Stripe. I never see or store your full card number.

When we work together
• Your contact details, your goals, notes from our sessions, and any materials you choose to share with me by email, through forms or during our calls.
• If a session takes place on Zoom or Google Meet, or if I use Fathom to take meeting notes, I will always let you know first. I use any recordings or notes only to support your coaching, unless we agree otherwise.

When you use Aurora, my AI career coach
• Your first name and email address.
• Your date, time and place of birth.
• Your answers about your work situation and your values.
• Basic usage information, such as when the tool was used.

When you visit this website
• Technical information such as your IP address and your device and browser type. This is processed by my website host, Showit, and through essential cookies only.

When you contact me on social media
• Any messages you send me or interactions you have with me on Instagram.

A note on birth details
Your date, time and place of birth are not automatically treated as "special category" data under the GDPR. I still handle them with extra care. I use them only to create your Aurora reading, and never to build marketing profiles. They are not used for anything beyond your reading and the follow-up emails you have agreed to receive.

4. How I use your information and my lawful reasons

The GDPR requires me to have a lawful reason, known as a "lawful basis", each time I use your personal data. Here is what I use your data for, and the basis I rely on.

• Sending my newsletter and the follow-up emails after a free resource, quiz or Aurora reading. Lawful basis: your consent. You can unsubscribe at any time.
• Creating your Aurora reading. Lawful basis: your consent, given when you use the tool and tick the consent box.
• Delivering coaching, courses, consultations and other services you book or buy, and processing your payment. Lawful basis: performance of a contract with you.
• Keeping this website and Aurora secure, and preventing misuse through usage limits and basic logs. Lawful basis: my legitimate interests. I always make sure these interests do not override your rights.
• Keeping accounting and tax records. Lawful basis: legal obligation under Lithuanian law.

5. Aurora, Your Aligned Career Coach

Aurora is a free tool. She asks you a short set of questions, takes your birth details, and creates a personalised career reading using Replit's AI service. Here is how your information is handled when you use her:

• Your information is stored so that I can send you your reading and any follow-up emails you have agreed to.
• Your birth details are used only to create your reading.
• You will only receive marketing emails if you actively tick the consent box. It is never ticked in advance.
• Basic usage information may be logged so that I can apply fair-use limits and keep the tool running smoothly.
• Aurora is hosted on Replit, and Replit's AI service processes your answers in order to create your reading.

Your Aurora reading is a reflective tool for inspiration. It does not make any decisions about you that have a legal or similarly significant effect.

6. Who I share your information with

I do not sell, rent or trade your personal data.

I use a small number of trusted service providers to run my business. They act as my data processors, which means they only use your data to carry out tasks on my behalf and according to my instructions.

• Showit: website hosting
• MailerLite: email newsletters and follow-up emails (MailerLite Limited, Ireland, with subscriber data hosted in the EU)
• Calendly: booking consultations
• Stripe: secure payment processing
• Replit: hosting Aurora and providing the AI service that creates Aurora readings
• Fathom: meeting notes, where used
• Zoom or Google Meet: online sessions, where used
• Buzzsprout: podcast hosting
• Instagram: if you message or interact with me there

Each of these providers has its own privacy policy. I may also share information if the law requires me to do so.

7. International transfers

Some of my service providers are based in the United States, namely Calendly, Stripe, Replit and, where used, Fathom. Whenever your personal data is transferred outside the European Economic Area (EEA), I make sure appropriate safeguards are in place. These include the European Commission's Standard Contractual Clauses and, where the provider is certified, the EU-US Data Privacy Framework.

MailerLite stores subscriber data for EEA customers within the EU.

If you would like more information about the safeguards for a particular transfer, please email me.

8. How long I keep your information

I keep your personal data only for as long as I need it. If you ask me to delete your data sooner, I will do so unless the law requires me to keep it.

• Email list subscribers: until you unsubscribe.
• Aurora users: your answers, birth details and reading are kept for 24 months after your last activity, then deleted or anonymised, unless you become a client or choose to stay subscribed.
• Coaching clients: for as long as we work together and for a reasonable period afterwards, plus any period required by law.
• Accounting and payment records: typically 10 years, as required by Lithuanian accounting rules.
• Website and security logs: usually up to 12 months, unless they are needed to investigate misuse.
• Session recordings and meeting notes, where used: only for as long as they are needed to support your coaching, then deleted unless we agree otherwise.

9. Your rights

Under the GDPR, you have the following rights over your personal data:

• Access: you can ask for a copy of the personal data I hold about you.
• Correction: you can ask me to correct anything that is inaccurate or incomplete.
• Deletion: you can ask me to delete your data. I will do so unless I have a legal reason to keep it, such as accounting records.
• Restriction: you can ask me to pause the use of your data in certain situations.
• Portability: you can ask to receive your data in a structured, commonly used format.
• Objection: you can object to my use of your data where I rely on legitimate interests.
• Withdrawing consent: where I rely on your consent, you can withdraw it at any time. This does not affect anything I did with your data before you withdrew it.

To use any of these rights, simply email me at info@vilmausaite.com. There is no charge. I will reply within one month. If your request is complex, this may be extended by up to two further months, and I will let you know if that is the case.

10. Cookies

Cookies are small text files that a website saves on your device.

This website uses only essential cookies. These are needed for hosting, for security and for the site to work properly. I do not use analytics, advertising or tracking cookies.

You can manage or delete cookies at any time through your browser settings. Please note that blocking essential cookies may affect how parts of the site work.

11. How I keep your information safe

I use appropriate technical and organisational measures to protect your personal data. These include access controls, working with reputable service providers, and collecting only the information I need. No online system can be completely secure, but I take the protection of your information seriously.

12. Children

My services, my courses and Aurora are intended for adults aged 18 and over. I do not knowingly collect personal data from anyone under 18. If you believe a minor has shared their information with me, please email me and I will delete it promptly.

13. Links to other websites

This website may contain links to other websites and platforms. I am not responsible for their content or their privacy practices, so I encourage you to read their own privacy policies.

14. Changes to this policy

I may update this policy from time to time, for example when I add a new service or the law changes. The "Last updated" date at the top shows when it was last revised. If I make a significant change, I will let you know by email or with a notice on this website.

15. Contact and complaints

If you have any questions about this policy, about Aurora, or about how I handle your data, please get in touch. I would always welcome the chance to help.

You may also complain to the data protection authority in the EU or EEA country where you live or work. You do not need to contact me first, although I would be grateful for the opportunity to put things right.
